Who is responsible
GREYSONANDCOLE LTD is the controller for information collected through this website.
Information and purpose
The calculator processes your project answers and postcode to generate a result. If you submit an enquiry, we also collect your name, email address, optional telephone number, privacy acknowledgement, result and enquiry reference. Please do not include health information, bank details or other sensitive information.
We use enquiry details to take steps at your request before a possible contract, and to respond to your questions. Proportionate security and spam-prevention processing is based on our legitimate interest in protecting the service. The acknowledgement box records your request and understanding; it does not consent to unrelated marketing.
Service providers
The website uses OpenAI Sites and Cloudflare infrastructure, including database storage for submitted enquiries. A postcode is sent to Postcodes.io to determine approximate location. For England, approximate coordinates are sent to Planning Data for designation checks. Contact details are not sent to those location services.
Zoho provides the business mailbox. The prepared form integration uses Zoho CPaaS transactional email to send the internal brief and your acknowledgement, including your name, email and submitted information. The integration sends the internal brief and the customer acknowledgement when a form is submitted.
Infrastructure providers may process data outside the UK. We review processor arrangements, transfer locations and any required UK adequacy or contractual safeguards. Ask us for details of the applicable safeguards.
Retention
The enquiry retention period is 180 days from submission for enquiries that do not become a client instruction. Spam-control identifiers and form tokens expire after 24 hours and two hours respectively. Expired records are removed by maintenance processing. Email copies and provider records must be included in the same retention procedure; platform backup expiry depends on the relevant provider. An appointed project will receive separate retention information.
Your rights
You may request access, correction, deletion or restriction of your data and, where applicable, portability or object to processing. Rights depend on the circumstances and lawful basis. Email contact@greysonandcole.co.uk with your enquiry reference if available. You can complain to the Information Commissioner’s Office.
Cookies and external resources
Necessary browser storage supports security and remembers your privacy choice. Optional first-party analytics record page source, campaign parameters and phone, email and enquiry-conversion events only after you accept analytics. No third-party advertising cookies are used. Fonts are loaded from Google Fonts, which receives normal connection information such as your IP address. You can change your choice through Cookie preferences in the footer.
Decisions and confidentiality
The calculator does not approve finance, assess credit or make an appointment decision. Our team reviews enquiries. We do not publish your project information or add you to a marketing list when you submit this form.
Contact files and recruitment
Project briefs and optional attachments are used to understand and respond to your enquiry. Career expressions of interest include your contact details, selected role, relevant experience, education, qualifications, availability, commitments and optional CV or cover letter. We use these to review your interest and discuss a possible appointment, on the basis of our legitimate interest in recruiting and, where applicable, steps requested before a contract.
Unsuccessful or unprogressed applications, enquiries and their attachments are retained for up to 180 days. You can ask us to remove an expression of interest earlier. There is no automated candidate ranking or selection. Do not provide identity documents, medical history or unnecessary sensitive information.
Adjustment requests can be made privately by email and are handled separately from suitability assessment, only to arrange appropriate support. Access should be limited to those organising that support. No diagnosis is requested through this form.
When online submission is enabled, files are stored privately on Cloudflare R2, with enquiry metadata in D1, and sent to the team through Zoho. Files are not made publicly accessible. Signature and size checks are not a malware scan; staff must treat attachments as untrusted. Email copies are subject to the same retention process. Online collection uses the same controls and retention period described above.
